How to sync my calendar and bookings

When you manage short-term rentals like Airbnb or Booking.com listings, your booking calendar is the central tool you rely on every day. At a glance, you need to see who is arriving or leaving, when, how many guests to expect, and where each booking comes from.

The way your calendar and bookings sync with Nowistay depends on how your property is connected. Here are the three possible scenarios.

Prerequisites

Before syncing your calendar, you must have created a property and activated your AI co-host.

Option A: Nowistay is your channel manager (PMS)

If you connected your property using Nowistay PMS (the built-in channel manager), there is nothing else to do. Once the property is connected, your calendar syncs automatically and in real time.

This means your availabilities, prices, and bookings are all kept in sync across every connected OTA (Airbnb, Booking.com, VRBO, etc.). Any change on one platform is instantly reflected on the others and in your Nowistay calendar.

This is the most powerful and recommended option. It gives you full control over your calendar, pricing, and availability from a single place β€” and it ensures your AI co-host always has the most accurate and complete information.

Option B: Third-party channel manager (Beds24, Smoobu, Lodgify)

If you connected your property through a third-party channel manager like Beds24, Smoobu, or Lodgify, there is also nothing else to do after the initial PMS connection.

However, in this mode, only bookings are synced β€” not availabilities or prices. Your third-party channel manager remains responsible for managing availability and pricing across your OTAs.

Bookings will appear in your Nowistay calendar with details like guest names (when provided by the channel manager), check-in/check-out dates, number of guests, and the booking source.

Option C: Direct OTA connection (Airbnb, Booking.com)

If you connected your property in Direct OTA mode, you need to manually add the iCal calendar URL from each OTA so that Nowistay can import your bookings.

How to get your iCal link from Airbnb:

From the Airbnb Host dashboard, go to "Calendar", then click the property on the left side. On the right panel, click "Availability settings", then scroll down to "Sync calendars" and select "Import calendar." In Step 1, click "Copy" to retrieve the iCal link.

Then go back to your Nowistay properties and click the "AI Assistant" button. In the "Enrichment" section, paste the URL into the "iCal Calendar URL" field, then click "Save."

In Direct OTA mode, bookings will appear as anonymous blocked slots β€” you will see the dates but not the guest's personal details (name, number of guests, etc.). For full booking details, consider switching to Nowistay PMS mode.

View the booking calendar

Whatever your connection mode, your calendar and bookings are continuously updated. To view it, go to the Calendar section in the left-hand menu.

You will see the calendar for each property on a single line, along with the reservations, including the guest's first and last name when available (PMS mode only).

If you click on a reservation, you'll see all the details: arrival date, departure date, number of adults and children, and the booking source (Airbnb, Booking.com, Direct, etc.).

Bookings and the AI co-host

Your AI co-host has access to your calendar, making it even more capable of answering questions about availability or handling guest requests such as early check-ins or late check-outs.
