How to use the private knowledge base of the AI co-host

The private knowledge base allows you to provide your AI co-host with information and instructions that you don't want to share with all guests, but that are useful for allowing it to respond correctly on your behalf. It doesn't replace the welcome guide. There's no need to repeat information already in the guide. It's only for confidential, sensitive, exceptional, or contextual content.

The welcome guide should contain everything every guest needs to know about the property: rules, equipment operation, practical information, points of interest, etc.

The private knowledge base, on the other hand, is for everything the guest doesn't need to know systematically, or only in certain situations. It can also be used to give internal instructions to the AI co-host.

This guide explains what this private knowledge base (or FAQ) is for, and how to configure it.

1. What is a private knowledge base for?

Share confidential or sensitive information

Some data should not appear in the welcome guide you share with your guests:

  • codes or procedures you prefer to keep private,
  • exceptional instructions to apply only in case of problems,
  • technical details about the property,
  • location of the electrical panel, etc.

This information may be necessary for the AI to assist you, but should not be visible to all guests. The private knowledge base is designed for this.

Avoid disclosing certain instructions to guests

A guest doesn't need to know:

  • an internal procedure that only concerns them in a specific case,
  • a potentially awkward detail,
  • an instruction applicable only when a problem arises, etc.

In these situations, the private knowledge base allows the AI co-host to have the right answer when needed, without public exposure.

Provide instructions reserved for the AI co-host

You can also indicate:

  • details on how you want the AI co-host to formulate certain responses,
  • internal directives ("if X happens, respond Y", "never suggest Z", etc.),
  • contextual elements useful only to the AI.

This information shouldn't be in the welcome guide because it doesn't concern the guest.

Easily modify and delete questions/answers

Each question/answer can be updated at any time.

Is an answer no longer relevant? Two clicks on the trash icon are enough to remove it.

Don't duplicate what's already in the welcome guide

Everything each guest should be able to consult must remain in the welcome guide.

The private knowledge base isn't meant to repeat this information. It only supplements what should remain confidential or conditional.

2. How do you create your private knowledge base?

Step 1: Access the “Knowledge base” section

Go to your AI co-host management area.
Click the “AI Assistant” button.

In the assistant configuration panel, scroll to the last section: “Private knowledge base of the AI co-host.”

Step 2: Add a question

Click on “Edit”.
Write a question formulated as a guest might ask it, or a situation where the AI co-host needs to receive an instruction.

Examples:

  • What's the lockbox code? (if you don't want it to be public)
  • The air conditioning is very noisy, is this normal?
  • In case of a power outage, what should I check?
  • etc.

Step 3: Write the answer

Provide the answer you would give personally or the internal instruction intended for your AI co-host. The AI will prioritize your information.

Here is our tip: Be clear, specific, and concise.

Example:

  • The electrical panel is located behind the pantry door, on the left.
  • The air conditioner is old, a slight noise is normal. I'm planning renovations before summer.
  • If a guest asks X, start by responding Y.

Click on “Add the question”.

Step 4: Choose whether the AI co-host should contact you

Some situations require your intervention (technical problem, incident). For each question, you decide whether:

Click on the “Save“ button.
The question is immediately integrated into the private knowledge base.

3. How to edit or delete a question

Edit

  • Click the “Edit” button.
  • Open the question you want to change.
  • Update the question or answer by clicking the text.
  • Click the ✅ icon to save.

Delete

  • Double-click the trash icon.
  • The question is removed from the knowledge base.

4. Your AI co-host automatically uses the private knowledge base

Once configured, the AI:

  • consults your private base with each guest question,
  • applies your autonomy rules,
  • relies on the private answers and instructions you've defined,
  • never shows this information in the welcome guide.

The private knowledge base is a strategic tool: it allows your AI co-host to respond with precision and consistency without disclosing sensitive, conditional, or confidential information. It becomes a true internal instructions space, distinct from the welcome guide, and gives you total control over what the AI knows and what it can say.
