How to Use Nowistay’s Shared Booking Calendar to Streamline Cleaning and Maintenance Operations ?

When you manage a short-term rental like an Airbnb, there is one place where you spend a huge amount of time every day: the property’s booking calendar. It needs to be clear and simple enough so that, at a glance, you—as a host or property manager—can instantly see who is arriving or leaving, when, how many guests there will be, and where the booking comes from (Airbnb, Booking.com, direct booking, VRBO, Abritel, etc.).

Even more importantly, this calendar must be easy to share with your cleaning and maintenance teams so they can work autonomously and know exactly what they need to do and when. Team communication is essential to avoid any issues with guests—missed cleanings, maintenance disturbing a guest, and so on.

This is exactly what Nowistay offers with its optimized calendar. Here’s how to access it.

Initial settings

1/ You must have created a property and activated your AI co-host.

2/ If you connected your property using PMS mode, there’s nothing else to do. You can move on to the next section, “View the booking calendar.”

3/ If you connected your property in Direct mode (Airbnb, Booking): retrieve your property’s iCal link from Airbnb.

From Host mode, go to “Calendar”, then click the property on the left side. On the right panel, click “Availability settings”, then scroll down to “Sync calendars” and select “Import calendar.” In Step 1, click “Copy” to retrieve the iCal link.

‍

4/ Go back to your Nowistay properties and click the “AI Assistant” button. In the “Enrichment” section, paste the URL into the “iCal Calendar URL” field. Then click “Save.”

View the Booking Calendar

The calendar and reservations are continuously updated. To view it, go to the Calendar section in the left-hand menu.

You will then see the calendar for each property on a single line, along with the reservations, including the guest’s first and last name when available (PMS mode only).

If you click on a reservation, you’ll see all the details: arrival date, departure date, number of adults and children, and the booking source (Airbnb, Booking, Direct, etc.).

Share the Booking Calendar

Sharing the calendar with your cleaning or maintenance team couldn’t be easier.Simply click the “Share” icon next to the property name.

You can then copy the guide URL and share it with your teams. A QR code is also available, which you can download and display if needed.

Access to the shared calendar does not require an account or login—just share the link. However, for privacy reasons, reservations will not display personal information such as the guest’s first or last name.

‍

The calendar offers both a traditional calendar view and a list view. Each reservation shows the booking platform and the expected number of guests.

Bookings and the IA Co-host

Finally, your AI co-host has access to your calendar, making it even more capable of answering questions about availability or handling requests such as early check-ins or late check-outs.
